AGM – Holiday Inn 23/02/09

Apologies:  Di Boddy who was ill with Flu and it was too short notice to ask Frank to attend.

The meeting was opened with the news of Alison Lines’ accident. The Committee wish her a speedy recovery.

North East Website - A letter was sent to all members to advertise the website and to notify members that everything will be posted on the website in future.

As a whole the area has had a successful year not just on a regional basis but also national with some members representing their country.

Finances 

Until now the finances have been separate (northern and southern sections) which has worked well. We will continue to run a joint show and promote the Ball as a joint Ball, however the finances will remain separate incase there is ever a need to go back to 2 Areas. Another benefit of the separate finances is that the BSJA award us with two sets of training funding.

The Committee has decided to create a Financial Proforma for both areas to illustrate to members what we have achieved and view at the tear end.

Junior Academy        £135 credit (both areas invested £100initially)

The Junior Academy has received £2000 funding from the BSJA. The area appreciates all the hard work that Christina Foley has put in. In order to secure this funding Christina produced a Portfolio illustrating attendance to date, trainer information, theory topics, blacksmith demonstration by John Brannen and how the funds would be used. The area has received positive feedback on the Junior Academy and it has been well supported. The Committee would welcome suggestions on how to spend the funding.

Joint Events 

The individual shows will still run, however there will be 1 joint 2 day show in the summer.

The Ball will be a joint Ball. The venue for the 2008 Ball was alright but not well attended, therefore we would like to see twice as many this year. The 2009 Ball will be held at The Federation Brewery (a central location just off the A1) on 20th November.  The Committee will ensure that this Ball is well advertised.

Spring Show 

Schedules are now available and were available at the AGM. There is a change of venue this year as Richmond is the only Centre that can cater for the schedule. The show will be held on 3rd / 4th May.

Training 

Alison is the Co-ordinator. The training will be kept separate and open to all, therefore we will benefit from two grants and the members will benefit from two sets of training.

Northern Training

7th / 8th April with Susie |Gibson

Southern Training

2nd/ 3rd June with Andrew Hamilton

Application forms for the Northern section were available at the AGM. Members can contact Ann for forms for the June training. If the members would like to consider alternate Trainers the Area would welcome ideas.

Communication 

Website

Sonya has been updating the website as we were requested to raise the profile at the last AGM and the Area has taken this onboard. The website has been used to try and encourage new members and promote members success. 2008 has seen 7500 hits on the website.

Equestrian Plus

Equestrian Plus have supported the area and have covered the 2008 shows and Junior Academy. Two photographers have supported the area by giving their photos free of charge. This has received good feedback from members.

Mobile Phone

The area has acquired a Mobile. It is a text phone only and paid for by funds. Anyone wishing to receive texts please send Christina Foley their contact details.

5 Star Training 

John Brannen and Sophia Cuthbert both attended the 5 Star training. Form can be downloaded and members progress from 1 Star to 5 star. Both John and Sophia have received letters congratulating them and have been offered follow up training.

AOB 

The issue of shows clashing was raised. Although we try to avoid clashing, if two show organisers apply to the BSJA at the same time for the same dates and choose not to change their dates then it is possible for shows to clash.

David Leak very kindly offered to sponsor the website and asked if we would consider advertising for sponsorship – this was accepted.

The 2008 northern shows were affected by the weather.

Alan opened the meeting by introducing the Committee and their allocated roles. The first four members were voted on by the Area 12 members:
Alma Lewis (Deputy Area 12 Rep and Treasurer);
Alison Lines (Training Rep);
Steven Gair (Pony Rep); and
Stacey Holland (Area Secretary).

The final four members were selected by the elected Committee:
Jenny Lines (Area Complaints);
Leigh-Ann Lewis (Under 25 Rep);
Peter Flannigan (Sponsorship); and
Paul Chester (Health and Safety).

Alan then handed over to Chris Jopling (Treasurer for 2005/2006). Chris explained the Financial Report, which concluded that the Area had financially a bad season last year and made a loss of £1800. Two days jumping had to be cancelled last year and again shows were not supported and entries remained low.

This year, shows will be held at three Centres Bowes Manor Equestrian Centre, Todburn and Blue Sky, these centres are also running independent shows throughout the season. Show venues and dates were discussed which can be seen on the Website. Steven Gair suggested the possibility of Bowes Manor holding a Junior show on Friday 29th June to attract more Juniors for the Junior British Novice 2nd Round on Saturday 30th June.

The schedules were discussed and the Area will still provide classes to accommodate all members from Novice to 1.30 open. The area will be holding 10 days of jumping in 2007 where neighbouring Areas are only holding 2days, therefore Members are urged to support the Area shows. Jenny Lines offered to distribute schedules when available to gain more interest.

The BSJA are giving two sets of Funding for Training this year, the Area is hoping to hold training early in the season and later on in the year - details will be posted on the Website, which is very kindly updated voluntarily, when the Trainers have been confirmed.

Nominations for Area Rep are in October.

Amateur classes have increased in numbers and our area has been very successful winning 4 of the 8 Regional awards.

The Area would also like to thank anyone who stayed back and helped at the end of the shows.

All members were asked if there were any classes that they would like the area to run. Members would like the starter class to be open to 14.2hh with a height of 75cm and to consider making this a qualifier. The possibilities of running Qualifiers with Championships or Classes with sashes / Trophies were discussed. Reviewing the Criteria for Trophies was discussed, however some Trophies were given with specific Criteria. A list of Trophies and Criteria is available on the website.

Congratulations to Michelle Lewis on becoming a Full Judge and Philippa McKeever on becoming a BSJA accredited coach. Philippa can also offer Proficiency training.

The possibility of running a Summer Ball was discussed to increase Area Funds, which the Area will consider.

Di Boddy confirmed that the BSJA have over 4000 new members. The BSJA are going to update members cards to swipe cards. The new Rule book has been delayed but will be in a Ring binder when available to make it easier / cheaper to update. The new show Jackets can have names on the back and Whittaker and Top Tack are contracted for the new Jackets.

Di also confirmed that for every 5 starters 1 prize would be paid.

The next newsletter will be posted out end of March.
